Client Terms & Conditions

The terms that apply to travel planning and booking services.

Last updated: September 2026

These Client Terms & Conditions (“Terms”) apply to travel planning and booking services provided by Parks Ports and Paradise Travel Co. (“Parks Ports and Paradise,” “PPP,” “we,” “us,” or “our”), including services provided through travel advisors affiliated with Parks Ports and Paradise.

By authorizing Parks Ports and Paradise to make or manage travel arrangements on your behalf, you acknowledge that you have reviewed, understand, and agree to these Terms.

The individual accepting these Terms on behalf of a traveling party represents that they are authorized to provide information and communicate regarding the travelers included in the reservation. Each traveler remains responsible for complying with requirements applicable to them.

1. Our role as your travel agency

Parks Ports and Paradise assists clients with researching, planning, arranging, and managing travel.

We act as an intermediary between travelers and independent third-party travel suppliers and service providers, which may include:

  • Cruise lines
  • Airlines
  • Hotels and resorts
  • Theme parks
  • Tour operators
  • Vacation package providers
  • Transportation companies
  • Excursion and activity providers
  • Travel insurance providers
  • Destination management companies
  • Other travel-related suppliers

Parks Ports and Paradise does not own, operate, manage, or control these independent suppliers.

Travel services are ultimately provided by the applicable supplier and are subject to that supplier’s own terms, conditions, policies, rules, and restrictions.

2. Traveler information and accuracy

You are responsible for providing complete and accurate traveler information.

Names and other identifying information provided for a reservation must comply with the requirements of the applicable travel supplier and must correspond with the identification or travel documentation the traveler will use.

You agree to carefully review all quotes, invoices, confirmations, itineraries, tickets, and other travel documents upon receipt.

You must notify your Parks Ports and Paradise travel advisor promptly if you discover an error or discrepancy.

Parks Ports and Paradise is not responsible for costs, penalties, denied boarding, denied entry, delays, reservation changes, or other consequences resulting from inaccurate information supplied by a traveler or from a traveler’s failure to review their documents and report an error in a timely manner.

Costs associated with correcting traveler information after a reservation has been made are the responsibility of the traveler.

3. Passports, visas, and travel documentation

Each traveler is responsible for determining and obtaining all documentation required for their travel.

Depending on the itinerary and traveler, this may include:

  • Valid government-issued identification
  • Passports
  • Visas
  • Entry or transit authorizations
  • Documentation for minors
  • Health or vaccination documentation
  • Residency or citizenship documentation
  • Other documents required by governments or travel suppliers

Requirements may vary based on destination, citizenship, residency, age, itinerary, mode of transportation, and other circumstances.

Travelers are responsible for verifying current requirements with appropriate government authorities and travel suppliers.

Parks Ports and Paradise may provide general information or resources as a convenience, but such information should not be considered legal, immigration, medical, or governmental advice.

Failure to possess required documentation may result in denied boarding, denied entry, delays, cancellation, or additional expenses. Any resulting costs or losses are the traveler’s responsibility.

4. Pricing and availability

Travel prices, promotions, inventory, and availability are subject to change until a reservation has been confirmed by the applicable supplier.

A quote does not guarantee pricing or availability.

Promotions may have eligibility requirements, booking deadlines, residency requirements, capacity restrictions, blackout dates, or other supplier-imposed conditions.

Parks Ports and Paradise cannot guarantee that a previously quoted rate, promotion, room, stateroom, flight, package, or other travel product will remain available until the reservation is completed.

5. Deposits and payments

Deposits and final payments are due according to the requirements established by the applicable travel supplier.

You are responsible for ensuring required payments are made by the applicable deadlines.

Failure to make a required payment by the applicable deadline may result in cancellation of the reservation and forfeiture of deposits or other amounts previously paid.

Payment schedules and deadlines may vary among suppliers and reservations.

Unless expressly stated otherwise, payments for travel services are subject to the applicable supplier’s terms and conditions.

6. Changes, cancellations, and refunds

Travel reservations may be subject to cancellation penalties, change fees, nonrefundable deposits, nonrefundable fares, or other restrictions established by the applicable supplier.

In some circumstances, all amounts paid may become nonrefundable.

If you request a change or cancellation, you are responsible for all applicable supplier penalties, fare differences, fees, and other costs associated with that request.

Eligibility for a refund is determined by the applicable supplier’s terms and conditions.

Parks Ports and Paradise does not guarantee that a supplier will approve a refund, future travel credit, exception, waiver, or modification outside the supplier’s published terms.

If a supplier issues a refund, the timing of that refund may be determined by the supplier or payment processor and may be outside Parks Ports and Paradise’s control.

7. Supplier changes and cancellations

Travel suppliers may modify or cancel schedules, itineraries, ports of call, flights, accommodations, activities, transportation, amenities, entertainment, or other components of a trip.

Such changes may occur before or during travel.

Parks Ports and Paradise will make reasonable efforts to assist affected clients when requested, but we cannot guarantee that a supplier will provide a particular replacement, refund, credit, reimbursement, or alternative arrangement.

Any remedies available to the traveler are subject to the applicable supplier’s terms and applicable law.

8. Travel insurance

Parks Ports and Paradise strongly recommends that travelers consider appropriate travel insurance or travel protection.

Travel insurance may provide coverage for certain unexpected events depending on the policy purchased, including potentially covered cancellations, interruptions, medical emergencies, delays, baggage issues, or other covered losses.

Coverage varies significantly by policy.

If you decline travel insurance or purchase coverage that does not apply to a particular loss, you may be responsible for nonrefundable travel costs and additional expenses.

Parks Ports and Paradise is not an insurance company and does not determine whether a particular event or loss is covered.

Coverage decisions, claims, benefits, exclusions, limitations, and claim payments are determined by the applicable insurance provider according to the terms of the insurance policy.

Unless appropriately licensed or authorized, Parks Ports and Paradise travel advisors do not provide interpretations of insurance coverage or advice regarding whether a particular policy will cover a specific event.

Travelers should review the policy documents and direct coverage-specific questions to the applicable insurance provider.

9. Health, safety, and travel risks

Travel involves inherent risks.

Conditions at a destination may change before or during travel and may be affected by matters including weather, natural disasters, illness, communicable disease, political events, civil unrest, crime, terrorism, transportation disruptions, labor disputes, government actions, or other circumstances.

Parks Ports and Paradise does not determine whether travel to a particular destination is safe or appropriate for a particular traveler.

Each traveler is responsible for evaluating travel risks and determining whether they are comfortable traveling.

Travelers are encouraged to consult official government sources, including the U.S. Department of State and other appropriate authorities, when evaluating destination-specific conditions and requirements.

10. Health and medical considerations

Travelers are responsible for determining whether they are physically and medically able to participate in their planned travel.

Travelers should consult an appropriate healthcare professional regarding personal medical concerns, vaccinations, medications, mobility limitations, pregnancy, or other health considerations related to travel.

Parks Ports and Paradise does not provide medical advice.

Travelers are responsible for complying with health-related requirements imposed by governments, transportation providers, cruise lines, resorts, tour operators, or other suppliers.

11. Accessibility and special requests

Clients should notify their travel advisor as early as possible regarding accessibility needs, dietary needs, mobility requirements, allergies, medical equipment, or other special requests that may affect travel arrangements.

Parks Ports and Paradise will make reasonable efforts to communicate requests to applicable suppliers.

However, special requests are subject to supplier availability and capability and cannot be guaranteed by Parks Ports and Paradise unless expressly confirmed by the applicable supplier.

Travelers are responsible for determining whether a supplier, destination, accommodation, transportation option, excursion, or activity can appropriately meet their individual needs.

12. Air travel

Airline schedules, aircraft, routes, seat assignments, baggage policies, and fares are controlled by the applicable airline and may change.

Seat assignments and special requests are not guaranteed unless confirmed by the airline.

Travelers are responsible for complying with airline check-in deadlines, baggage requirements, identification requirements, and other airline policies.

Parks Ports and Paradise is not responsible for airline schedule changes, delays, cancellations, missed connections, baggage issues, or other airline operational decisions.

When assistance is requested, we will make reasonable efforts to help clients navigate available options.

13. Cruises

Cruise lines may modify itineraries, ports of call, arrival and departure times, onboard offerings, or other aspects of a cruise before or during sailing.

Travelers are responsible for satisfying all cruise-line documentation, check-in, boarding, health, and other requirements.

Failure to arrive at the designated embarkation location by the required time may result in denied boarding and forfeiture of amounts paid.

Cruise reservations remain subject to the applicable cruise line’s passenger contract and other terms and conditions.

14. Excursions and activities

Excursions, tours, activities, transportation, and other experiences may be operated by independent third parties.

Travelers are responsible for reviewing applicable age, height, weight, health, mobility, safety, and participation requirements before purchasing or participating.

Parks Ports and Paradise does not operate or control third-party excursions or activities and cannot guarantee their safety, performance, availability, or suitability for a particular traveler.

15. Force majeure and events beyond our control

Parks Ports and Paradise is not responsible for failure, delay, loss, damage, or disruption caused by circumstances beyond our reasonable control.

Such circumstances may include, without limitation:

  • Severe weather
  • Hurricanes
  • Natural disasters
  • Fire or flooding
  • Epidemics or pandemics
  • Communicable disease
  • Acts of government
  • Changes in laws or entry requirements
  • War
  • Terrorism
  • Civil unrest
  • Strikes or labor disruptions
  • Transportation disruptions
  • Supplier operational failures
  • Utility or technology failures
  • Other events beyond our reasonable control

Refunds, credits, rebooking options, or other remedies resulting from such events are subject to the applicable supplier’s terms and applicable law.

16. Limitation of responsibility for third-party services

Parks Ports and Paradise acts as an intermediary in arranging travel services provided by independent third parties.

To the fullest extent permitted by applicable law, Parks Ports and Paradise is not responsible for the acts, errors, omissions, representations, warranties, breaches, negligence, delays, cancellations, defaults, injuries, losses, or other conduct of independent travel suppliers or service providers.

Nothing in these Terms is intended to exclude or limit a right or responsibility that cannot legally be excluded or limited.

17. Client communication and responsibility

Clients are responsible for monitoring communications from Parks Ports and Paradise, their travel advisor, and applicable travel suppliers.

This includes reviewing:

  • Reservation confirmations
  • Payment deadlines
  • Documentation requirements
  • Check-in instructions
  • Schedule changes
  • Supplier notices
  • Travel requirements
  • Pre-travel information

Clients should promptly notify their travel advisor of changes to contact information or circumstances that may affect their reservation.

Parks Ports and Paradise is not responsible for consequences resulting from a client’s failure to review or respond to time-sensitive communications.

18. Independent travel advisors

Parks Ports and Paradise may provide travel services through independently contracted travel advisors affiliated with our agency.

Reservations made through an affiliated Parks Ports and Paradise travel advisor remain subject to these Client Terms & Conditions and applicable supplier terms.

Clients should make travel-related payments only through payment methods or processes authorized by Parks Ports and Paradise or the applicable travel supplier.

19. Governing law

These Terms are governed by the laws of the State of Tennessee, without regard to conflict-of-law principles, except where applicable law requires otherwise.

Nothing in these Terms is intended to waive consumer rights or protections that cannot lawfully be waived.

20. Severability

If any provision of these Terms is determined to be invalid, unlawful, or unenforceable, that provision will be enforced to the maximum extent permitted by law, and the remaining provisions will remain in full force and effect.

21. Acknowledgment and acceptance

By accepting these Terms, you acknowledge that you have had the opportunity to review them before authorizing Parks Ports and Paradise to make or manage travel arrangements on your behalf.

You acknowledge that travel reservations may also be subject to separate terms and conditions imposed by applicable travel suppliers.

You understand that supplier policies, cancellation terms, payment requirements, and travel requirements may vary by reservation.
